About the role
We are seeking an experienced and highly organized Executive Assistant to support senior leaders within the Legal team. This role requires exceptional discretion, strong stakeholder management skills, and the ability to manage multiple priorities in a fast-paced, confidential environment.
The ideal candidate will be a proactive partner to Legal leadership, providing seamless administrative, operational, and coordination support while handling sensitive and privileged information with the highest level of professionalism.
Key Responsibilities
Executive Support- Manage complex calendars, scheduling, and meeting coordination across multiple time zones.
- Prioritize and resolve scheduling conflicts while ensuring effective time management for Legal leaders.
- Prepare meeting agendas, briefing materials, presentations, and follow-up actions.
- Act as a key point of contact for internal and external stakeholders.
- Manage executive communications, correspondence, and high-volume inbox activity.
- Coordinate effectively with business leaders, external counsel, and other key partners.
- Support the preparation, organization, and management of legal documents, contracts, and related records.
- Coordinate signature workflows, document tracking, and key legal deadlines.
- Maintain accurate and secure records while ensuring confidentiality at all times.
- Coordinate domestic and international travel, itineraries, and logistics.
- Track action items, project deliverables, and leadership priorities.
- Support budget tracking, invoice processing, and expense management.
- Assist with team events, leadership meetings, and cross-functional initiatives.
- 10+ years of Executive Assistant experience supporting senior executives.
- Prior experience supporting Legal, Compliance, Risk, or Professional Services teams is preferred.
- Proven ability to manage confidential and sensitive information with discretion.
- Strong proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams).
