Role Purpose

The purpose of this role is to provide scheduling services, schedule oversight and management of project and program schedules to achieve portfolio, programme and project objectives. The Master Scheduler will be accountable for developing and managing schedules across multiple programs and projects, monitoring delivery to scope, budget and agreed timeframes.
The role will be working directly with multiple stakeholders including IT and business owners, project managers, finance business partners and Sponsors to deliver quality portfolio reports and insights which are of a consistently high standard.
The role will require strong project scheduling and support skills, and the ability to work within an integrated team of technical/non-technical personnel to develop and manage project plans and schedules.

Principal Accountabilities ·

You will be responsible for ensuring Scheduling best practice including completeness, accuracy and consistency in schedule development and management across all work streams within the business unit.
 •  You will work under the support and general direction of the Programme Director, PPM Director,Senior PMO Director and make decisions within defined parameters.
 •  Provide schedule management guidance and support to the Project Managers, including in the development of the work breakdown structure and in identifying intra-program dependencies, schedule risk and issues.
 •  Develop and maintain summary level schedule reports Gantt, milestone charts, and other program management tools used to support critical path analysis , priority based resource allocations, and to support cost/schedule integration.
 •  Support the programme team in the planning, tracking, analysis, and reporting of projects/programs, including dashboard maintenance.
 •  Enforce strict schedule version control processes, policies, and procedures
 •  Work in collaboration with Project/Program Management team to drive consistency of the project scheduling approach to facilitate accuracy in project execution and reporting.
 •  Identify major milestones, decision points and other project events
 •  Troubleshoot and monitor potential scheduling problems
 •  Facilitate and participate in schedule reviews as required
 •  Follows up discrepancies in schedule with key stakeholders; reviews critical path and highlights discrepancies and impacts with Project Managers;
 •  Reviews dependencies and highlight impacts with Project Managers; reconciles planned deliverables against scope; and ensures project schedules meet minimum standards
 •  Work proactively with the PMO, Program Director, Programme Managers, Project Managers & Project team to collect new, or review existing information required for the compilation of program schedule(s).
 •  Interpret Program schedule(s) progress (critical path analysis, optimisation of schedule using float etc.) and problem solve as required.
 •  Proactively identify Risks and Issues within the Schedule and propose Mitigation strategies.
 •  Manage all Scope and Delays added into the Schedule to ensure compliance and change management is managed correctly.
 •  Ensure that all associated Deliverable obligations are tracked and managed and brought to PMO and director level if potential breaches are identified.
 •  Take responsibility for the management and reporting on program schedule(s) and produce accurate, informative progress reports.
 •  Pro-actively focus on transferring scheduling best practice knowledge to the team as well as best practice in the use of scheduling practices.
 •  Develop resource planning capability based on project schedules and maintaining milestone deliverable based, cost and resource loaded schedules for all projects / programs.

Reporting Relationships Reporting to the Programme Director, this role requires a proactive relationship builder who can work collegially with the team members and broader stakeholders (internally and

externally) to acquire information in a precise, timely and consistent manner.

Essential Competencies ·

Relevant 7+ years of experience
 •  Strong knowledge of project management frameworks, Waterfall and Agile methodologies, SDLC, and project governance in an IT environment.
 •  Thorough understanding of project management principles, planning, scheduling and cost program controls and Earned Value management.
 •  Extensive experience in using MS Project scheduling tools (MS Project / Office, Visio etc.)
 •  Track record of successfully providing Master Scheduling PMO services for multiple large IT programs Proven ability in leading the scheduling and planning capability of large-scale complex programs.
 •  Proven ability to identify, estimate, allocate & monitor software project tasks
 •  Advanced MS Excel skills
 •  Ability to work with vast datasets.
 •  Good to have knowledge of ADO (Azure DevOps) tool
 •  Strong attention to detail, resilience and the ability to appropriately manage visibility of issues that can cause scheduling delays to ensure minimal impact to schedules.
 •  Excellent communication and stakeholder management skill Strong interpersonal skills and the ability to articulate thoughts and ideas clearly and with impact, both verbally and in writing.
 •  Highly developed stakeholder management skills with ability to liaise and influence people across all levels of the organisation to achieve desired results.

Preferred Skills ·

Experience managing schedules within a government setting
 •  PM Certification (PMI-SP, PMP, Prince 2)
 •  PMO experience
 •  Bachelor’s Degree or demonstrated equivalence through professional experience.
