We are seeking an efficient and reliable Personal Secretary to support our Managing Director in all aspects of their day-to-day activities. As a Personal Secretary, you will be responsible for managing and coordinating schedules, making travel arrangements, organizing meetings, and handling various administrative tasks.
The ideal candidate will have excellent organizational skills, strong attention to detail, and the ability to multitask effectively. You should also have exceptional communication skills and the ability to maintain confidentiality.
Responsibilities
• Manage and maintain the Managing Director's schedule and appointments
• Make travel arrangements, including booking flights, accommodations, and transportation
• Organize and coordinate meetings, conferences, and events
• Prepare meeting agendas and take minutes
• Screen and prioritize phone calls, emails, and other correspondence
• Handle and distribute incoming and outgoing mail and packages
• Perform general administrative tasks, such as filing, photocopying, and data entry
• Manage confidential and sensitive information with utmost discretion
• Provide support in preparing reports, presentations, and other documents
• Assist in personal tasks and errands as requested
Requirements
• Proven experience as a Personal Secretary or similar role
• Excellent organizational and time management skills
• Strong attention to detail and accuracy
• Ability to multitask and prioritize tasks effectively
• Exceptional communication and interpersonal skills
• Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and other relevant software
• Ability to maintain confidentiality and handle sensitive information
• Professional and friendly demeanor
• Ability to work independently and as part of a team
• High school diploma; additional qualifications in Secretarial studies or Office Administration are a plus
